Planning for employee offboarding
- Once you or an employee decides to terminate the employment, the series of steps that you must plan and execute from that moment until they leave your company begin.
Managed Employee Offboarding Process
1. Create a List of Tasks
- What to Do: Identify all necessary tasks for the offboarding process.
- When to Do It: Schedule each task according to the offboarding timeline.
- Who Should Do It: Assign responsibilities to appropriate team members.
2. Plan the Timeline
- When to Do It: Establish a clear timeline for each task to ensure a smooth transition.
3. Assign Responsibilities
- Who Should Do It: Designate specific individuals or teams to handle each task.
4. Execute and Document Each Step
- Responsible Party: The assigned individuals execute the tasks.
- Attach Documentation: Ensure all relevant documentation is completed and attached (e.g., transfer protocol of entrusted property).
How to plan employee offboarding
- open the employee record. In it you have all employees divided by job positions
- Select any employee in it
- Go to the "Activity Plans" tab, here you have the option to set up departure activities using activity plans
- Select "Create Activity"
- Name the employee exit activity according to your company policy
You set up activities for offboarding either for all employees or for a certain job position or individually for a specific employee.
- For all means that the exit activity will be created for all employees
- For category means that the exit activity will be established for that job position. If you want to create for a different job position, select the employee with that job position and create a leave activity from it
- For this item only means that the exit activity will be established only for the selected employee
- You can set up the vast majority of employee departure activities as one-off.
Confirmation of offboarding activity
- Once the departure plan is set up, you will see a button to confirm the activity.
- This confirms that you as HR (or another responsible employee) have carried out the activity and, if the situation requires it, attach a file confirming this.
- This can be a scan, photo or other document.
