The Watchdogs remind you of anything you want

Do you need to be reminded of a contract's end, employee's birthday, warranty date, or anything else? Set up a watchdog, and it will alert you. You can use them for a wide range of details. It alerts you within the app, and it sends an alert to your e-mail inbox.

The most common examples of using a Watchdog:

  • Contract expiration
  • Staff training and regular inspection dates
  • ID number or other important document number change
  • Birthdays
  • Vehicle inspection
  • First aid kit expiration
  • Doctor's appointment

You can use five different Watchdogs:

  • Reminder on a specific date
  • Recurrent reminder
  • A reminder of a change in the value
  • Reminder based on the value
  • Anniversary reminder

How to set a Watchdog

You can turn on a Watchdog for any detail. You can even have more than one Watchdog for one detail at the same time, and you can change their settings anytime. You can turn on watching over all items within the Organizer for some Watchdog types.

  1. Select the item that you want to be watching over in the organizer.
  2. Click on the dog's icon in the row of the detail and select "+ Set new Watchdog"
  3. Fill in the Watchdog's name and set the Watchdog based on your needs (below you can find all the options and their explanations)
  4. You can share the Watchdog with your colleagues, and they will be able to change the Watchdog settings and also receive an alert, or you can also make the Watchdog create a task once it sends out an alert

Reminder on a specific date

Do you need a reminder on a specific date for one specific item? This Watchdog's option is made for that.

The reminder is always sent to your inbox and your e-mail. The alert is triggered at midnight on the day you selected. For example, you would like to be reminded on 11.27.2020, and the Watchdog will alert you on that day at 00:00. This means when you open the app or your e-mail inbox in the morning, you will see the reminder.

Recurrent reminder

Do you need to be recurrently reminded of a specific event? This Watchdog option takes care of that. You can also set the end date of this Watchdog and select how often you want to be reminded. The selection can be based on days of the week or periodically every 1-7 days.

If you want to be notified weekly, you choose the days of the week. If you select a daily reminder, you will receive the notification the day you switched the Watchdog on and then every following day up until the day you want the Watchdog to end. If you want to be notified every two days, it is important to realize the day you switch the Watchdog on counts as the first day, and therefore you will be reminded the next day as the system counts it as the second day. If you want to be reminded every Friday, select "week" and tick "Fri". When you open your e-mail or the app on Friday morning, the notification will already be there.

A reminder of a change in the value

Do you need to be reminded of a change in the value of a detail? This Watchdog option reminds you every time anyone changes the value in the watched detail.

The reminder is sent out the moment the change is saved. For example, you can set this Watchdog to watch for a change in the "ID number" detail in the "Employees" Organizer, and whenever someone changes this detail, you will be alerted. You can set this Watchdog to watch over all items within an Organizer.

Reminder based on the value

Do you need to be reminded when a specific list value is set? This Watchdog option reminds you when that happens.

This type of Watchdog is based on the format of the detail. If you set it for the date format, you can set the Watchdog to watch for a specific date or remind you before entering the date. If you have the date 10.10.2020 in the detail and set the reminder to be 30 days before that, you will receive the reminder on 9.10.2020 when the clock hits midnight. This means you will find the notification in your e-mail or the app in the morning. 

By using "contains" you can watch over the list format. If you want to be reminded when the value is changed to the keyword or keywords you set in the Watchdog. You can use this to speed up the process that would be otherwise slower because different employees are responsible for different phases. You can use it to watch over all items in an Organizer.

Anniversary reminder

Do you need to be reminded based on an anniversary monthly, quarterly, semiannually, or yearly? This Watchdog reminds you before that anniversary.

You can use the Watchdog to remind you annually, or up to once in fifteen years. You always set how many days you want to be reminded before the anniversary. You can use this Watchdog to watch over all items in an Organizer.

Where can you display your Watchdogs

You can see your Watchdogs by the detail they are watching over. The dog's icon is green once set up.

All your Watchdogs, including those you are set by someone else, are located in the "Watchdogs" tab in the left main menu.

If you select the anniversary option and monthly or annual reminders, you can see the watchdog next to the detail as you can see in the picture below.

Notification in your e-mail inbox and the app

The notification will appear in the app.

Click the notification to open it and mark it as "Done" and send a message to others. If the Watchdog created a task, you have to finish it before marking the Watchdog as "Done".

Overview of all your Watchdogs

You can find all your Watchdogs in the "Watchdogs" tab in the left main menu. You can see the name of the Watchdog, what they are watching over and where, the number of days left, or which users have access to the Watchdog. You can change the Watchdog's settings on this page by clicking on them.

Use the filter function to filter Watchdogs

 You can filter by Organizers, the date of notification, or their names.
