This article is for Contract Managers.
In Aptien, You Have Several Ways How to Manage Your Contracts and Agreements
With Aptien, you can manage contracts in a way that suits you. Aptien is flexible in this regard and allows you to adapt your contract records to your needs, a wide range of contract types, and the varying sizes and needs of companies and teams that manage contracts. Basically, you can use two basic ways, which depend on how you need to work with the contracts and agreements:
One Universal Contract Organizer
- Ideal for: Small businesses or teams looking for a simple approach
- If you have a smaller number of company contracts or contract types
- The record includes basic contract types that you can easily customize or expand as needed.
Multiple Specialized Contract Organizers
- If you want to see "different types of contracts in different tabs"
- Ideal for: Medium businesses or those requiring detailed tracking of different contract types
- Features: Dedicated organizer for each contract type, or for different organizational units
- This approach is useful when different employees are responsible for specific types of contracts, or when you have a wide range of different contracts in the company
When to Choose Single Contract Organizer
- A single contract management system is a good option for smaller businesses or teams with a limited number of contracts.
- For teams focused on information sharing, using a unified system simplifies processes and improves efficiency.
- It provides easy access to information and updates for everyone.
- You'll find nine pre-configured contract types that you can customize to meet your specific needs.
When to Choose to Divide Contracts into Multiple Organizers
If you are a larger company, or your team needs to closely monitor contracts, or organize them by department, then you might prefer using a more specialized system. This means creating separate organizer for each type of contract. This approach works well if different people handle different contract types, each contract type follows a unique process, or you need to track different information for each type. You can better manage these scenarios by categorizing contracts into "separate tabs."
- For growing teams that need to share and protect information, it's often better to divide the information into multiple records.
- You can easily assign roles and permissions to each organizer.
- Segmentation simplifies permission management and ensures sensitive information is only accessible to authorized personnel.
How to Add Another Contract Type
If the contract types in the templates aren't sufficient or don't quite fit your needs, you can easily add or change them. You have two options:
1. Create a New Organizer for a New Contract Type
- Add a new type of contract as a "new tab."
- See the guide on how to use a pre-built template or create a new list from scratch.
2. Manage Contract Types within the Organizer Using Categories
- Further break down each list into different contract types, similar to a master list.
- See the guide on how to divide a organizer into different contract types using categories.
