Cost and usage tracking helps small and growing businesses control expenses on projects and improve decision-making.

What to track

  • Material usage and waste
  • Labor hours and costs
  • Equipment or tool usage (and any damage)
  • Travel or mileage costs
  • Subcontractor or vendor expenses

How to manage in Aptien:

  1. Go to Project Organizer and select a project
  2. Go to tab "Costs & Usage"
  3. Enter values into a cost and usage table - Log every cost as an activity (fuel, labor, materials)
  4. Monitor target value whether the budget is met and how is fulfilled 
  5. Track assigned tasks with cost estimates
  6. Summarize total variable costs for the project

How to Attach Invoices and Receipts

If you need to attach documents, receipts, invoices, or anything else, it's not a problem. Simply scan and attach the photo or PDF.

  1. Log the cost
  2. Take a picture or scan the receipt or other document or attach PDF
  3. Attach the photo or PDF to the expense record

  • Prevent scope or budget creep
  • Improve cost estimates for future jobs
  • Increase transparency with clients or stakeholders
