Providing Personal Protective Equipment (PPE)

When a new employee starts, you need to issue them personal protective equipment (PPE) such as a helmet, work shoes, work clothes, uniform work clothes, uniforms, gloves, and so on. Work aids have a certain lifespan, so during employment, you need to monitor whether and when you need to issue a specific protective device again. You also need to have documents about these issues. Having everything on paper is challenging with higher tens or hundreds of employees, so it is ideal to keep the PPE agenda digitally.

How to Hand Over PPE to an Employee

Protective aids are kept in a separate record and you hold information about their individual types, sizes or other properties that are important for your situation. You can have your protective equipment or other work aids kept in multiple records. Then the following applies to all of them.

  1. Open the Protective Aids record
  2. Select the specific aid or tool you want to issue to the worker
  3. Click on the "Issue Aid" button
  4. Issue the aid and confirm. The employee can also confirm that they have received the aid
  5. The employee sees all issued and non-expired protective equipment in their self-service

How to Proceed with Regular Replacement of PPEs and other Work Tools

  • PPE Expiry: The assigned PPE will expire at the designated time, resulting in the removal of the assignment from the employee.
  • Entitlement: Upon expiration, the employee is entitled to receive a new PPE.
  • Issuance: Follow the established procedure to issue a new PPE to the employee.

How to Proceed in the Event of an Exceptional or Issue of PPE

  • Locate Employees: Find the employees in the provided list.
  • Remove Old Equipment: Remove the existing protective work equipment assignment.
  • Issue New Equipment: Follow the established procedure to issue new protective work equipment.
