Action Buttons: Automating Processes and Actions

Action buttons are special controls within Aptien that trigger automated processes, actions, or applications. These buttons are visible only to authorized users with the necessary permissions. For example, in a company, not just anyone can hand over keys or passwords to employees—such actions must be controlled. That’s why access to specific actions is restricted based on user roles.

What Can Action Buttons Be Used For?

Asset Assignment & Handover (Digital Handover Forms)

Action buttons can be set up for various asset handover or assignment processes, such as:

  • Assign to Multiple Users → Assigns an item to multiple employees.
  • Assign to a User → Assigns or issues an item to a specific employee (e.g., issuing a laptop).
  • Revoke from a User → Removes an item from an employee (e.g., collecting a laptop upon offboarding).

Inventory & Storage Transfers

  • Stock In → Moves an item into a designated storage location (e.g., receiving new laptops into IT inventory).
  • Stock Out → Removes an item from storage (e.g., discarding outdated phones).
  • Transfer Between Storages → Moves an item between two locations (e.g., transferring equipment from one office to another).

Printing Actions

  • Print Form → Launches a predefined print form.

Access Control for Action Buttons

Each action can be assigned to specific user roles. An action button will only appear to authorized users who have the necessary permissions to perform the assigned action.
