One of the key pieces of information about corporate assets is their location. This refers primarily to tangible movable assets such as various equipment, apparatus, machinery, tools and the like. Information about who has what or where it is located is important information for operations and planning. In principle, assets can be located either:

  • in a place - a room, workshop, classroom, office, corridor, meeting room, etc.; or 
  • the asset is carried by an employee

How to deal with the location of property in Aptien?

When you need to keep track of where your asset is located, you can do so in one of two ways:

You keep the location manually in the records

  • you use for situations where the entire asset information is maintained by an administrative staff member and does not require transfer reports
  • for example, between equipment and room records using the location as a detail
  • you can use paper handover reports here
  • the information about the change of location is recorded manually by the clerk using the change in context
  • it is similar to keeping the information in your "excel file" 

You assign the location with a digital transfer protocol

  • use for situations where you need to record the handover and use the digital transfer protocol
  • information about a change of location is recorded automatically based on a confirmed digitally signed handover
  • location information is updated automatically
  • all changes are logged (equipment log book)

Location of assets held by means of records

You have created your own records for asset location

  • so you can take inventory from room, building or other records, for example room inventory
  • if you have set up some custom records that correspond to the specifics of your business (for example, offices, classrooms, storerooms, etc.)

Place assets using a digital handover protocol either to a location, site, repository or entrusted it to an employee.

You use Repositories and Locations to locate assets

  • it can be an IT office, it can be a store room, or an entire building. Depending on what you need, you define the locations yourself. 
  • this allows you to take inventory at the storages level
  • no need to set up anything, when you start the inventory type you will be presented with a list of your storage locations
