Aptien CRM provides flexible options for managing your customer data. The best approach depends on what you sell and how you run your business. Here are two common ways businesses use our system:
- Each sale is to a new, unique customer (e.g., project-based work or one-time services), or
- You have repeat customers who make multiple purchases over time
One Customer = One Project
This approach is perfect for businesses involved in custom manufacturing, small-scale construction, or installation services. It's a straightforward and efficient solution that keeps everything organized. You can keep all your project information in one central record. This method works well if each customer usually has only one order or project.
How to set this up in Aptien CRM:
- Use just one primary record type: projects or customers. Pick the one that best suits your business.
- Within this single record, you'll manage all project details, from initial sales discussions to final delivery.
- For every individual project, you'll keep all related documents, from sales agreements to project completion.
Multiple Orders per Customer
If you have a customer with multiple orders, then record customers and orders (or sales opportunities) separately. This setting is suitable if you have regular customers with recurring orders and need to track each order separately (individual deadlines, documents, tasks) and want to see the history of cooperation with the customer. The advantages include an overview of all customer orders, easier performance tracking and reporting, and a comprehensive customer history.
How to do this in Aptien:
- Additionally, use the Sales Opportunities or Orders organizer for individual orders
- Link each sales opportunity to the customer using a connection
