Company Property Return Checklist for Offboarding
When an employee departs, company property should be collected in a consistent, well-documented process. A clear checklist helps prevent missed items, lower replacement costs, and protect the business. Common high‑risk items include keys, ID badges, laptops, phones, credit cards, and access tokens/fobs.
In most small and midsize businesses (SMBs), this checklist is owned by HR, Office Administration, or IT—depending on company size and staffing—and should be completed before the employee’s final day whenever possible.
What a Company Property Return Checklist Typically Includes
Start with a clear inventory of what the employee has been issued. This list usually includes- Minimum checklist items :
- Laptop / desktop, monitors, docking station
- Phone / tablet, SIM card
- Headset, accessories, chargers, cables
- Keys, access card, badge, key fob
- Company credit card, travel card
- Uniforms, tools, safety gear (if applicable)
- Any specialized equipment (e.g., test devices, calibration tools)
Tip: Include serial numbers for high-value assets (laptops, phones, tools).
What Companies Should Have in Place at Minimum
- Clear return instructions: Where items must be returned (office, front desk, IT help desk), when, who receives them (HR/Office/IT), what to do for remote employees (prepaid shipping label, packaging instructions)
- Item condition check (quick inspection to avoid disputes): Working condition, visible damage or missing accessories, notes and photos if needed
- Confirmation and proof of return: A good checklist includes documented confirmation like employee signature or written acknowledgment that items were returned
- Data and security access: Confirm removal of employee access and personal accounts
One rule that keeps it simple
- If it belongs to the company and enables work or access, it must be returned—and confirmed in writing.
