How to create and manage a repository

To create a new repository, you must be in the Administrator role.

Think about how to name the repository 

Before you create a new repository, think carefully about what to name it. Its naming must be easy to understand for the users who will be working with it. We recommend that you name the storage according to your company's naming conventions. You can use an informal name as you are used to in practice (for example, Jane's cabinet). It is important that users know what it is.

How to create a new repository

  1. Go to Administration
  2. Select "Records" from the menu
  3. Select "Repositories" 
  4. In the right window, click on "Create repository"
  5. Enter the name of the repository and save

How you work with the storage?

The storages have no other settings. They are mainly used in digital handover whereby you can transfer a piece of equipment or property to the repository. Keep in mind that you do this for each piece separately (for example, a specific computer with a specific serial number).

The list of repositories will therefore be presented to you when you create the actions for storing (see action buttons)  

Storages have no other settings. They are simply just a list of locations where you store something. They mainly serve as a simple equipment storeroom, or locations where you can store equipment, a place before issuing it to an employee. So you can use them if you want to keep track of where you have what equipment, device, machine or even paper files.

  • You need to set up digital checkout - electronic issuing and returning in order to put something into or out of storage
  • The list of storages will therefore be offered to you when creating new checkout digital form
  • If any item is located in the storage, you then see information in it
  • Keep in mind that you must stock each item separately (for example, a specific computer with a specific serial number)
