Facility Management, why a CMMS will help you and what to look for

Key features that your software should have and maybe some you didn't even know you could have!

Asset data management

A busy workplace environment will include a plethora of features that need to be logged, inspected, serviced, maintained, or even monitored. Having them all centralized in one place teams can establish a basis for maintenance management operations.

Maintenance management

From your baseline repository of assets you can then organize, schedule, monitor, inspect, and even track performance. Having your central datahub to collate requests and defects, make and manage tasks to technicians or contractors, match documents and images related to assets, will ensure nothing is lost or forgotten. All information will be in one place.

Work order management

No longer will work instructions to key staff or contractors be lost or mislaid, with work order management create, schedule, assign and, track all maintenance tasks.

Vendor management

Having your contractors, technicians, and even tenants able to access the system will alleviate management of work orders, tickets, reports and requests. Again, having it all within one system limits data loss and gives an auditable trail. Upload of documents such as fault images will also help in identifying root causes and mitigate against lost information.

Helpdesk portal

You have a broken light bulb in sector D and employees risk trips or falls that could cost the company, should this wait until a technical inspection or rather utilize your workforce and let them report the issue. Having a helpdesk portal empowers your employees and eases your duties.

Inspection management

Inspections are a key feature of any maintenance regime helping in preventive maintenance, compliance, and ensuring the company against liability. A good Facility management software should be able to schedule inspections at any time period required from daily to decennary (10 yearly), or even one off irregular ones.

Inventory management

Over time things go missing, get 'borrowed', lost, broken, or just moved. To keep your Facility management database up to date an inventory of assets is an essential.

Workplace training

Whether it is behavioral training on how employees should interact with each other and with the working environment or, how they should use the items within those spaces, having a system that can manage the distribution of documents or arrangement of training courses will help in avoiding accidents or misuse and ensure a compliant workforce.

Device compliance

Many assets within the fold of the facility managers remit will have regulations, rules, or standards for operation and maintenance. A good software will be able to ensure compliance backed data to support achieving these goals.

Advanced features

Many software developers offer advanced features that maybe of interest to a narrower audience. These can include fleet management, QR code creation and reading, Integration with existing software, space utilization maps/plans, automated ordering of supplies/spare, and even IOT (internet of things) hardware connectivity for items such as GPS trackers and temperature sensors.

Facility management in small & medium businesses

It is important to know what you do or don't need, having a system with all the bells and whistles is an attractive proposition but may not be cost effective and under utilized. CMMS does save you money for many reasons, predominantly in prolonging the longevity of your facilities and ensuring you are running a compliant and safe working surround. To decide on what you need facility managers are the key players but, there are many others who are involved, meet and discuss and decide on what is the main categories of need.
